JOB DESCRIPTION SUMMARY

We are looking for much more than an administrative profile for this Reception role; we are looking for the face and first impression of the company.

The ideal candidate is service-oriented and driven by excellence, with a proven ability to manage every interaction — whether in person or over the phone — with efficiency, professionalism, empathy, and confidence. Their primary mission is to ensure that every visitor, provider, and employee experiences a 10/10 level of service, even during moments of pressure or unexpected incidents.

We seek a proactive and solution-driven professional with strong organizational skills and high emotional intelligence, capable of staying calm, prioritizing effectively, and delivering results without compromising quality. Exceptional communication skills, attention to detail, multitasking ability, and a clear understanding of the strategic importance of Reception as a central coordination point within the company are essential.

JOB DESCRIPTION

Key RoleResponsibilities

  • Answer, screen, and forward incoming calls, or takeaccuratemessages and direct them to theappropriate person.
  • Manage access control, including issuing and programming access cards for visitors and employees.
  • Welcome visitors and guide them to theappropriate personor destination.
  • Create a welcoming environment by receiving, informing, andassistingvisitors, employees, and suppliers in a courteous, friendly, and professional manner.
  • Maintain cleanliness and organization of the reception area at all times, ensuring company safety procedures are consistently followed.
  • Receive, sort, distribute, and send incoming and outgoing mail and correspondence.
  • Manage meeting rooms, coordinate schedules, and ensure rooms are fully prepared and organized for meetings. Provide support to external guests attending meetings and events.
  • Perform administrative support tasks such as photocopying, scanning, document collation,maintainingoffice equipment, reporting malfunctions, and supervising and organizing office supplies.
  • Maintain confidentiality and discretion at all times;comply withcompany policies and procedures; represent the organization ethically and professionally;maintainup-to-date knowledge of the organizational structure (including staff names and roles); and remain calm in high-pressure situations.
  • Keep the internal telephone directory and staff roles updated.
  • Provide administrative and secretarial support, including preparing correspondence and documents, updating databases, organizing emails, and monitoring and updating calendars and meeting schedules.

Knowledge & Qualifications

  • Good levelof general education.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Good levelof English (written and spoken).

Experience & Skills

  • Previousexperience in a Reception, Front Desk, or customer-facing role.
  • Excellent verbal and written communication skills. 
  • Professional presentation and strong interpersonal skills. 
  • Ability to multitask and prioritize effectively in a fast-paced environment. 
  • Strong organizational skills and attention to detail. 
  • Proficiencyin Microsoft Office (Outlook, Word, Excel).
  • Ability to remain calm, courteous, and professional under pressure. 
  • High levelof discretion and ability to handle confidential information.
  • Fluency in Spanish and English (written and spoken).
